Prize Options ​

Ask a winner to pick a size, colour or similar before you send a physical prize — a hoodie in S, M, L, XL, a phone in Black or White. The winner chooses from a dropdown when they claim the prize, and you see their pick on the Winners page, in the export and in your notification email.

Where to find it: a Prize options box appears on every physical prize — the main prize (Admin → Competitions, /admin/competitions), instant win prizes (the competition's Manage Prizes manager) and instant win templates (Admin → Content → Instant Wins, /admin/instant-wins). It only shows while the prize type is Physical Prize.

Add options to a main prize ​

  1. Start a new competition and go to Step 3 — Winner, or open an existing competition and go to the Prize & Draw tab.
  2. Set Main Prize Type to Physical Prize. The Prize options box appears just under Product link.
  3. Click Add options. A row appears with Option already filled in as "Size".
  4. Keep or change the Option name, then type the choices into Choices, separated by commas — for example S, M, L, XL. Each choice appears as a chip underneath so you can check it split the way you meant.
  5. To ask for something else as well, click Add another option (for example Option "Colour", choices Black, White). Use the bin icon to remove a row.
  6. Save the competition — click Create Competition on the wizard, or Save on the edit page. On the wizard's Review step you'll see a line such as Winner picks: Size (4) · Colour (2).

Every winner of the main prize picks their own options, so a competition with several winners gets a separate pick from each.

The limits are 5 options per prize, 30 choices per option, and 40 characters per option name or choice. Option names must be different from each other, and choices within one option must be different — both ignoring capitals, so M and m count as the same. If something's wrong, a red message under the box tells you what (for example "Add at least one choice to Size") and the competition won't save until it's fixed.

Tell entrants which sizes are available

Options are not shown on your public competition page — entrants only see them once they've won. If people will want to know the sizes or colours before they enter, list them in the prize Description.

Add options to an instant win prize ​

  1. Open the competition, go to the Instant Wins tab and click Manage Prizes.
  2. Click + Add Prize (or click the pencil on an existing prize to edit it).
  3. Make sure the prize type is Physical Prize. The Prize options box sits under Product link.
  4. Click Add options, then enter the Option name and its Choices (separated by commas), exactly as for a main prize. Add more with Add another option.
  5. Finish the rest of the prize as usual and click Create Prize (or Create N Prizes for a random batch — every prize in the batch gets the same options). When editing, click Update Prize (or Update Prize Details once the competition has sales).

You can add, change or remove options on a physical instant win even after tickets have sold — they're one of the few things that stay editable (see What locks after sales).

CSV bulk add doesn't carry options. Prizes created with + Bulk Add (CSV) have no options; open each one with the pencil afterwards to add them.

Save options on a prize template ​

If you give away the same item regularly, put the options on its template so you don't retype them.

  1. Go to Admin → Content → Instant Wins and click New Template (or edit an existing one).
  2. Choose Physical Prize as the Prize Type.
  3. In Prize options, click Add options and fill in each Option and its Choices, separated by commas.
  4. Click Create Template (or save your changes).

The template list — and the picker when you choose From Template on a competition — shows a line such as Winner picks: Size (4). When you apply the template, its options are copied onto the new prize, where you can still change them in the Prize options box before you create it. As with everything else on a template, editing the template later doesn't change prizes already created from it. See Create a prize template.

Change or remove options ​

  • To change them, edit the choices in the Prize options box and save. Remove a whole option with its bin icon; remove every row to take options off the prize entirely.
  • You can change them at any time, on a main prize or an instant win prize, including after tickets have sold.
  • Existing winners keep what they were offered. The options are fixed on each win at the moment it happens. If a winner is still picking and you change the prize's options, they still see the old list. Only future wins get the new one.
  • Switching the prize away from Physical clears its options. Change the type to Site Credit, Cash or Competition Tickets and the options are cleared straight away — switching back to Physical won't bring them back, so you'd need to enter them again.
  • Duplicating a competition copies the options, on both the main prize and its instant win prizes.

What the winner does ​

A win with options waits for the winner, in the same Pending Choice status used when a prize has a cash or credit alternative.

  1. The win appears under Pending Decisions on the My Prizes page of the winner's account.
  2. Under Choose your options, there's a dropdown for each option (for example Size and Colour).
  3. The Claim Prize button stays greyed out until they've picked something in every dropdown.
  4. They click Claim Prize, see their picks in the confirmation box, and confirm. The success message repeats what they chose, and their picks then show under that win in Recent Wins.

If the prize also has a cash or credit alternative, the winner can take that instead without picking any options — they only need to choose options if they're keeping the prize. See Handle prize choices.

The choice is final. Once confirmed, the winner can't change their pick. If they contact you to swap sizes and you agree, record the change in the winner's Internal notes on the Winners page so whoever packs the parcel sees it (see Add notes to a winner).

If the ID verification prize-claim gate is switched on, the winner has to verify before they can claim — see ID Verification.

See what a winner picked ​

Everywhere you'd look before sending a prize shows the pick:

  • Winners page (/admin/winners) — the winner's row carries a chip with their picks, for example M · Black (hover it to see the full "Winner chose Size: M, Colour: Black"). While they're still picking, the chip reads Options to pick.
  • Update Fulfillment panel (truck or eye icon) — a Winner chose box shows, for example, Size: M · Colour: Black. For a winner who hasn't picked yet (on a prize with no cash or credit alternative), a banner explains they haven't chosen their prize options and that they pick them from My Prizes in their account.
  • Export — the winners spreadsheet has an Options column straight after Prize, for example Size: M; Colour: Black. It's blank for prizes without options. See Export winners to a spreadsheet.
  • Notification email — the "winner has chosen their prize" email lists each pick on its own line (for example Size — M) under the prize they chose. See which emails go where.
  • Customer profile — click View All in the Prizes section of the customer's profile panel; the full prize list shows the picks under each win.

What emails to expect ​

  • Instant win with options: you don't get the usual "someone has won a physical instant win prize" email when it's won — you'd have nothing to send yet. You get the "winner has chosen their prize" email once they pick, listing their options.
  • Main prize with options: the "main prize winner has been drawn" email tells you the winner still needs to choose their prize options (naming them). The "winner has chosen their prize" email follows once they pick.

Choose options on a winner's behalf ​

There's no admin control for picking options for a winner. If a winner tells you their size by phone or email and can't do it themselves, an Admin can log in as the customer, open My Prizes and make the pick there. Note in Internal notes that you did it and why.

Don't move the winner out of Pending Choice yourself to get round this. Setting them to Pending or Processing in the fulfilment panel takes the win out of Pending Decisions, so the winner can no longer pick, and the win has no options recorded.

How options affect your reports ​

Options don't change what a prize costs you. So a win that's only waiting for the winner to pick options counts straight away in your P&L, prize cost figures and the public "paid out" totals — just like a prize without options.

A win that also offers a cash or credit alternative is different: it stays out of those figures until the winner decides, because the alternative could change what it costs. That's the same as before options existed.

Choices carry no cost, stock or value of their own. There's no stock tracking — if you run out of a size, you'll need to sort it out with the winner directly.

Troubleshooting ​

I can't see the Prize options box. The prize type isn't Physical Prize. Options only apply to physical prizes; switch the type and the box appears under Product link.

The competition or prize won't save and there's a red message under Prize options. Something breaks the rules: an option with no name ("Give every option group a name, such as Size"), an option with no choices, a duplicate option name or choice (capitals are ignored), more than 30 choices, or a name or choice over 40 characters. Fix what the message names and save again.

I changed the sizes but a winner still sees the old ones. Expected — options are fixed on each win when it happens. If the winner needs one of the new choices, agree it with them and record it in Internal notes.

A winner picked the wrong size. They can't change it themselves once confirmed. Agree the correction with them and record it in Internal notes before you send the prize.

My prize options disappeared. The prize type was changed away from Physical Prize, which clears them. Switch back to Physical and add them again.

I bulk-imported prizes and none of them have options. CSV import doesn't carry options. Open each prize with the pencil in the instant wins manager and add them — this works even after tickets have sold.

Entrants are asking what sizes are available. Options aren't shown on the public competition page. Add the sizes or colours to the prize Description.

A winner's row says Options to pick and they won't reply. It clears itself as soon as they pick on My Prizes. Chase them and point them at their account; see also A winner is stuck in Pending Choice.
