Cashback

Give customers a percentage of what they spend back into their wallet. Set it across your whole site or on chosen competitions, run it all the time or only during a window you pick, and pay it into site credit or withdrawable cash. Customers see the offer on the competition page and a confirmation on the page after they pay.

Where to find it: Admin → Content → Cashback (/admin/cashback). The link only appears if your admin account has the cashback permission.

Find your way around the Cashback list

Every cashback you have set up is listed on one page.

  • Name shows your internal name, with the wallet it pays into and what it earns on underneath.
  • Rate is the percentage customers get back.
  • Applies to shows a blue All competitions pill, or how many competitions it covers.
  • Schedule is a one-line summary such as 1 Sep to 30 Sep · 01:00-04:00 · Sat, Sun, or Always on if you have not set one.
  • Paid out is the running total this cashback has given away, and how many orders it has paid on.
  • Status is Active or Paused.

Each row has an Edit cashback (pencil) and a Delete cashback (bin) action. You only see them if your account has write permission.

Set up cashback

  1. Click New Cashback in the top right. A slide-over panel opens, so you keep your place in the list.
  2. Enter a Name. This is internal only and never shown to customers, for example Weekend 10%. Up to 60 characters.
  3. Under Applies to, choose All competitions or Specific competitions. See Choose which competitions it covers.
  4. Enter a Cashback rate between 1 and 100. Above 25% you get a warning showing what that rate hands back on a £10,000 competition. It is a warning, not a block.
  5. Choose where it is Paid into: Credit wallet (customers spend it on your site) or Cash wallet (customers can withdraw it as real money).
  6. Choose what it Earns on: Card payments only or Card and wallet credit. Card payments only is the safe setting — see Card payments only, or wallet too.
  7. Optionally set a Schedule. See Run cashback only at certain times. Leave it empty to run all the time.
  8. Set the Status to Active or Paused. New cashback defaults to Active.
  9. Click Create cashback. A "Cashback created" message confirms it and the panel closes.

It starts working straight away. There is no separate publish step.

It does not apply to past orders

Cashback only ever pays on orders placed after you switch it on. If you create it today with a start date of last week, orders from last week still earn nothing. The same applies when you un-pause: the orders that came in while it was paused are not paid retrospectively.

Choose which competitions it covers

All competitions covers everything on your site.

Specific competitions shows a searchable list. Tick the ones you want and they appear as chips above the search box. Remove one with the small x on its chip.

Some competitions in the list are greyed out and cannot be ticked. Underneath each one it says Already covered by and names the cashback holding it. A competition can only be covered by one active cashback at a time. To move it, edit or pause the cashback that currently has it, then come back.

How the two scopes work together

You can run an all-competitions cashback and specific ones at the same time. When both could apply, the specific one wins. Nothing is added together, so a competition on a 5% site-wide rate and a 50% specific rate pays 50%, never 55%.

That is what lets you run a low background rate everywhere and a headline rate on one competition. When you create an all-competitions cashback while specific ones exist, the panel tells you how many competitions keep their own rate.

Run cashback only at certain times

The Schedule section has three parts, and you can use any combination of them. All times are UK time and follow the clock change, so a 1am start stays at 1am in summer and winter. Leave everything empty to run all the time.

Starts and Ends is a calendar window. Pick a date and time for either or both. The cashback runs from the start up to, but not including, the end.

Each day, between is a time of day. Set both a start and an end time, or neither — the panel clears both if you clear one. If the end is earlier than the start you get an overnight window: set 23:00 to 02:00 and the panel confirms "This runs overnight, from 23:00 until 02:00 the next morning."

On these days is a row of day chips, Mon to Sun. Click to select. With none selected it runs every day.

So "100% cashback tonight, 1am to 4am" is a rate of 100, Each day, between 01:00 and 04:00, and a Starts/Ends window covering just tonight.

What customers are told

While a window is running, the competition page says "Running until 4am". Before it starts, it says "Starts tonight 1am to 4am", so an upcoming window still advertises itself. Once a one-off window has finished, the page shows nothing at all.

Card payments only, or wallet too

Card payments only is the default and the safe choice. Only the part of an order paid by card earns. An order paid entirely from a customer's wallet earns nothing, and an order half on card earns on that half.

Card and wallet credit means everything earns, however it was paid. Be careful with this one: credit spent earns more credit, which the customer spends and earns on again. They can keep going round that loop without ever paying you, and at a high rate the balance never runs down. The panel shows an amber warning when you pick it.

You cannot combine card and wallet credit with the cash wallet. The option is greyed out when you pick the cash wallet, and switching to the cash wallet moves the setting back to card payments only. Site credit is not withdrawable on purpose: refunds paid as credit, goodwill you have given, referral rewards and top-up bonuses all rely on that. Letting credit-funded spend earn withdrawable cash turns all of it into money that can be taken out, and the loop above means it never runs down. This is the one setting the software refuses rather than warns about.

When two cashbacks could both apply

A competition can only be covered by one active cashback, but an all-competitions cashback and a specific one can both exist. What happens depends on which one you touch:

  • Pausing the specific one hands its competitions back to the all-competitions one. So pausing a 100% promotion on a site that also runs 5% everywhere leaves those competitions earning 5%, not nothing. If you want them to earn nothing, pause the all-competitions one too.
  • A specific one being outside its schedule does not hand anything back. Between 4am and 11pm your overnight 100% competition earns nothing at all, rather than dropping to the site-wide 5%. The rule still owns the competition, it is just not paying at that hour.

If a basket mixes competitions paying into different wallets, the whole amount goes into the credit wallet. A customer who wants the cash rate should buy that competition on its own.

Where customers see it

On the competition page, an active or upcoming cashback shows as a line reading, for example, "10% cashback on this competition — Paid into your wallet. Running until 4am. Card payments only."

On the page after they pay, between the order summary and the buttons, a line reads "£2.50 cashback has been added to your wallet." For the second or two before the background job finishes it says "is on its way" and shows an estimate instead, which is never more than what actually arrives.

On their wallet page, it appears in their history as Cashback.

Things worth knowing before you switch it on

Refunds do not take cashback back. If you refund an order the customer keeps what they earned on it. On a small rate that barely matters. On a 100% window it matters a lot, so keep an eye on refunds while one is running.

Some orders never earn. Free entries, postal entries, orders you create by hand from the admin, and site credit top-ups all earn nothing. A top-up buying credit that immediately earns more credit would be money from nowhere.

Amounts are rounded down to the penny. A very small order can earn nothing at all. 1% of a 50p order is half a penny, which rounds to zero.

A daily window follows the clock, so the nights the clocks change are different. A 1am to 4am window is three hours on an ordinary night, two hours on the March night the clocks go forward and four hours on the October night they go back. Worth knowing before you run a high rate across an October Sunday morning.

There is no spending cap. The only limit is the rate itself. On a 100% cashback your exposure for that window is everything customers pay by card during it, which is what 100% means. Use a schedule to bound it.

Paying into the cash wallet is a real cost. Site credit gets spent back on your site. Cash can be withdrawn as money. Before you choose cash, check your withdrawal settings under Wallets & Withdrawals — your minimum withdrawal, ID verification requirement and any limits are what stand between this and someone cashing out.

Cashback credit can expire. If you have site credit expiry switched on, cashback paid as credit is treated like any other credit and expires with it. Receiving it also resets the customer's inactivity clock. See Wallets & Withdrawals.

Pause or stop cashback

Pausing stops it immediately. Edit the cashback, set Status to Paused and save. It keeps its competitions, so you can switch it back on later, but it releases them in the meantime — which means you can set up a replacement on the same competitions without deleting anything.

Deleting removes it for good. Cashback already paid to customers stays in their wallets and on their history; only the rule goes. You are asked to confirm first.
